Our Business Support department is comprised of a pool of 10 Assistants supporting our dynamic business stakeholders throughout the organisation.

In this position you will have the opportunity to contribute to a fast-paced environment while supporting multiple key business functions, including Trading and HR, ensuring smooth daily operations. This is a part-time role (80%) in Olten and/or Lausanne reporting directly to our Head of Business Support. We value learning from each other and growing together. Your profile

 

  • Commercial degree and preferably diploma as Executive Assistant
  • 5–10 years in a similar administrative or assistant role
  • Advanced skills in Microsoft Office (Excel, Word, PowerPoint, M365).
  • Exceptional multitasking and prioritization abilities in dynamic work environments
  • Proven ability to work autonomously and adapt to changing demands with minimal supervision
  • Collaborative, empathetic, and team-oriented, with excellent communication skills
  • Proficient in English and German; conversational proficiency in French is desirable

 

Your main responsibilities

 

  • Organize and manage calendars, schedule meetings, and ensures smooth coordination
  • Organize and book travel logistics, including flights, hotels, and itineraries, for team members
  • Plan and execute events, workshops, and business meetings, managing all logistical aspects
  • Submit, track, and manage invoices and expense reports with attention to detail and accuracy
  • Assist in project coordination, including HR onboarding events and other initiatives, ensuring deadlines and high standards are met
